01Who we are
Clevex (Clever Executions, "we" or "us") is a website design studio in Hartbeespoort, North West, South Africa, run by its founders, Zack de Beer and Francois Potgieter. We're responsible for the personal information described here, under the Protection of Personal Information Act, 2013 (POPIA).
This policy covers our website, clevex.co.za, and the information you give us when you get in touch or become a client. If you're outside South Africa, you have the same rights.
- We collect what you send us through our forms, WhatsApp, email or phone, plus the technical data every website receives.
- We use it to reply to you, quote and do the work. We don't sell it.
- A few service providers handle it for us (section 05), most of them outside South Africa.
- Google Ads cookies tell us which ads lead to enquiries. There's no other tracking.
- You can ask us at any time to see, correct or delete what we hold about you.
02What we collect
- Contact details
- Your name, business name and WhatsApp or phone number, and your email address if you give it. From our quote form and onboarding questionnaires, or when you WhatsApp, call or email us.
- Project details
- What you need, your budget or chosen package, and everything you tell us about your business and project. The quote form also notes which page of our site you sent it from.
- Files
- Logos, photos, brand assets and documents you upload to an onboarding questionnaire.
- Account logins
- Only if you add them to an onboarding questionnaire: the usernames and passwords of accounts you want us to work on, such as your domain, hosting, email or social media.
- Billing records
- If you become a client: what we need to invoice you and keep our books, such as your business details and the payments you make.
- Technical data
- Your IP address, browser and device type, and the pages you open. Our hosting provider receives this whenever your browser loads a page, and the Google Ads tag sends some of it to Google (section 04).
We don't ask for ID numbers or bank card details, and there are no visitor accounts or online payments on this site. The logins section of the questionnaire is optional: leave it empty and we'll sort out access with you directly. We don't knowingly collect information from children (section 09).
03How we use it
- Replying & quoting
- To answer your enquiry and prepare a quote, because you asked us to.
- Doing the work
- To plan, build, host and maintain your website, as agreed with you.
- Your logins
- To sign in to the accounts you gave us, only for the work you asked us to do on them.
- Records
- To keep a record of enquiries, projects and invoices. Tax law requires the financial records.
- Ad measurement
- To see which of our Google ads lead to enquiries, so we only pay for advertising that works.
- Security
- To keep the site secure and working.
We don't sell your information, and we won't use it for anything else, such as marketing to you, without asking you first.
06How we protect it
- The whole site runs over an encrypted (HTTPS) connection.
- Your submissions are kept in a private database. Only the founders can sign in to see them.
- Files you upload are stored at long, random links that aren't published anywhere: they appear only in our admin area and our own email. Anyone who has a link can open that file, so treat an upload like an email attachment.
- Logins you give us are stored with the rest of your answers and included in our notification email. Change those passwords once your project is done, or ask us to delete them.
- If your information is ever compromised, we'll tell you and the Information Regulator, as POPIA requires.
No system is perfectly secure, but we keep only what we need and limit who can see it.
07How long we keep it
- Enquiries & projects
- While we talk or work together, and afterwards for as long as we need a record of the work, for example to look after your website.
- Billing records
- As long as tax law requires, generally five years.
- Server logs
- A few days.
- Google Ads cookies
- In your browser until they expire or you delete them.
08Your rights
Under POPIA you have the right to:
- Ask whether we hold personal information about you, and get a copy of it.
- Ask us to correct anything that's wrong or out of date.
- Ask us to delete it.
- Object to how we use it, and withdraw any consent you gave.
- Complain to the Information Regulator.
To use any of these rights, email us at contact@clevex.co.za. We may ask you to confirm who you are before we share or change anything. If you're not happy with our response, contact the Information Regulator of South Africa at inforegulator.org.za or POPIAComplaints@inforegulator.org.za.
09Children's privacy
Our services are for businesses and adults. We don't knowingly collect personal information from anyone under 18. If you believe a child has sent us personal information, contact us and we'll delete it.
10Changes to this policy
When what we collect or how we use it changes, we update this page and the "Last updated" date at the top. If we make a significant change, we'll make it clear here.
